Guesty is looking for a dynamic and personable Office Manager to be the face of our office and support our growing community.

As our Office Manager, you will be the cornerstone of our Tel Aviv office operations, ensuring a seamless and welcoming experience for employees, clients and visitors. You will manage the front desk, oversee office and facilities management, support administrative tasks, and help foster a positive and productive office community.

Responsibilities

  • Occupy the front desk and be the welcoming face of our office, greet visitors and ensure a smooth, professional experience from the moment they arrive.
  • Oversee the Tel Aviv workplace operations, space planning, seating arrangements, parking arrangements and ensuring a clean, safe, and functional work environment.
  • Serve as the Tel Aviv site point of contact for vendors, including catering, cleaning services, maintenance, gardening and all contractors needed to run the office. Research vendor options and aid in the negotiation process.
  • Oversee the general upkeep of the office. Monitor and replenish office refreshments and supplies.
  • Recognize opportunities to reduce maintenance expenses and ensure documentation and contracts are organized and systematically reviewed.
  • Track and control invoices and orders to ensure budget compliance.
  • Handle incoming and outgoing mail, shipping packages, and deliveries.
  • Primary support for travel arrangements, including booking flights, accommodations, and transportation via the travel management platform.
  • Coordinate with the Employee Experience Manager to assist with on-site event coordination.
  • Assist in organizing company events, meetings and social gatherings to foster a positive office culture.
  • Support new hire onboarding, including preparing welcome kits and conducting office tours.
  • Act as a point of contact for employees regarding office-related issues and concerns.

Requirements

Skills:

  • Language Skills: High proficiency in both English and Hebrew, enabling effective communication with our diverse team and clientele.
  • Technical Proficiency: Solid understanding and experience with G-Suite and Office.
  • Familiar with SaaS tools and platforms is an advantage.
  • Personal Skills: Strong interpersonal skills with a friendly and professional demeanor.
  • Ability to handle sensitive information with confidentiality.
  • Strong organizational and multitasking abilities
  • Proven administrative experience

Working Conditions:

  • This is a full-time, on-site position requiring your presence from Sunday to Thursday, 9 am - 6 pm.
  • Flexibility to assist with events or meetings outside of regular office hours as needed.
