About the Role
We’re looking for a seasoned, proactive Executive Assistant (EA) to provide high-level administrative and operational support to our leadership team. This is not an entry-level admin role — we’re seeking someone who thrives in a fast-paced environment, anticipates needs, and brings structure, follow-through, and discretion to everything they touch.
You’ll play a key role in keeping the executive team organized, informed, and focused on high-impact work by managing calendars, internal processes, documentation, vendor coordination, and special projects. The ideal candidate is confident in managing both digital workflows and hands-on responsibilities, such as handling mail, processing check deposits, or preparing materials for events.
Location Requirement: This is a hybrid role. Candidates must be based in the Denver, CO area and available to be on-site in the downtown area 1–3 days per week, depending on operational needs.
Key Responsibilities
- Manage complex scheduling across multiple calendars and time zones
- Reserve conference rooms and ensure smooth meeting logistics
- Receive, scan, and route physical mail
- Coordinate collection of CEO signatures (e.g., for checks, contracts)
- Deposit physical checks into the bank
- Manage accounts payable, including Brex and contractor payments
- Maintain SOPs and ensure operational documentation is up to date
- Prepare meeting decks, internal reports, and presentations
- Take meeting notes, summarize next steps, and follow up with stakeholders
- Track contract renewals, expirations, and ensure proper filing of agreements
- Coordinate onboarding/offboarding processes, including tool and access setup
- Schedule interviews and coordinate hiring logistics
- Track marketing inventory and ship materials for conferences/events
- Manage office supplies and handle space logistics
- Own special projects, internal ops initiatives, and vendor research
- File and organize all executed documents
- Plan employee offsite logistics and event planning
- Manage the board process
What We're Looking For
- 5+ years of experience as an Executive Assistant, Chief of Staff, or Operations Manager supporting senior leaders
- A proactive, systems-oriented mindset — you don’t wait to be told what to do
- Excellent written and verbal communication skills
- Extremely detail-oriented and organized
- Discreet with sensitive information and confident in handling financial workflows
- Tech-savvy and comfortable working across digital and physical tasks

Work Structure & Location
- Hybrid: ~1–3 days/week in-office depending on operational needs
- Location: Must be based in the Denver, CO area
- Time Zones: willing to adjust working days/hours to accommodate East - West time zones
Compensation
Estimated Salary Range: $60,000 – $90,000, depending on experience and scope of responsibilities.
This range reflects compensation for a highly experienced Executive Assistant in the Denver market, particularly those managing a combination of executive support, financial administration, contract tracking, and operational coordination. Bonus or equity may be considered depending on fit and level.
